Use this checklist when you are comparing EHS platforms and need something more rigorous than a vendor feature matrix. Each item is written as a capability to verify in a demo or trial, not a box a vendor can simply tick. Score each one yes, partial, or no, and pay attention to the partials. That is usually where the gap between the demo and daily use lives.
How to Use This Checklist
Do not send this to vendors as a questionnaire. Everything here will come back marked yes.
Instead, work through it during a live demo, and ask the vendor to show each item rather than describe it. Where a capability matters to you, repeat the test during a trial with a real user on a real site. Items that pass in a demo and fail in the field are the most expensive kind of surprise.
Weight the sections according to your own gaps. A team drowning in audit prep should weight documentation heavily. A team with almost no near-miss data should weight reporting and mobile above everything else.
Incident and Hazard Reporting
- Can a worker submit a hazard in under a minute, measured with a stopwatch?
- Can reports be submitted without a personal login, for contractors and visitors?
- Can a photo or video be attached at the point of capture?
- Are anonymous reports supported where your policy requires them?
- Does the form adapt to the report type, rather than showing every field to everyone?
- Is the reporter told what happened to their report afterwards?
Audits and Inspections
- Can checklists be built and edited without vendor involvement?
- Can an inspection be completed entirely on a phone or tablet?
- Do findings generate corrective actions directly, without rekeying?
- Can evidence be attached against an individual line item, not just the audit?
- Can the same checklist be scheduled to recur across multiple sites?
- Can you see completion rates by site and by owner at a glance?
Corrective and Preventive Actions
- Does every action have a named owner and a due date by default?
- Does the system escalate automatically when an action goes overdue?
- Can you reassign an owner in bulk when someone leaves or changes role?
- Is there a verification step, so closure requires evidence rather than a checkbox?
- Can you trace an action back to the incident or finding that created it?
- Can you see every open action for one person in one view?
Compliance and Documentation
- Can you produce a complete audit pack for a date range without manual assembly?
- Are records immutable once closed, with an auditable change history?
- Does the system handle site-specific regulatory requirements?
- Are document versions controlled, with visible effective dates?
- Can training and competency records be linked to the people and tasks they cover?
- Are retention periods configurable to match your jurisdiction?
Reporting and Analytics
- Can you compare leading and lagging indicators in the same view?
- Can you segment by site, shift, contractor, and area without exporting?
- Does the system surface repeat root causes across sites automatically?
- Can a non-technical user build a new report without a support ticket?
- Are scheduled reports delivered to stakeholders without manual sending?
- Can you export underlying data, not just rendered charts?
Mobile and Offline
- Does the mobile experience cover reporting, inspections, and action closure?
- Do submissions queue and sync automatically when signal returns?
- Does the app work on the devices your workforce actually carries, including older handsets?
- Can a user complete a full inspection offline, including photo evidence?
- Is the interface usable with gloves, in bright sunlight, and in low light?
Integration and Administration
- Does the platform support single sign-on with your identity provider?
- Can user accounts and site assignments sync from your HR system?
- Is there a documented API, with rate limits and versioning stated?
- Can an administrator add a field or change a workflow without a developer?
- Are permissions granular enough to match your site and role structure?
- What does a full data export contain if you terminate the contract?
Scoring Your Shortlist
Total the yes answers per section, but do not just rank by the total. A platform that scores well everywhere except mobile is a poor fit for a field workforce, however strong the overall number.
Instead, identify the two or three sections that map to your actual failures, and treat those as pass or fail. Use the remaining sections to break ties.
Then check the partials. A partial usually means the capability exists but requires a workaround, a services engagement, or a higher tier. All three have costs that do not appear in the licence quote.
Conclusion
A structured checklist protects you from the two most common selection errors: buying the longest feature list, and buying the best demo. The questions that matter are the ones a vendor has to show rather than assert.
Neptune EHS was built against this kind of scrutiny, with mobile-first capture that works offline, automatic routing and escalation, and audit packs generated on demand. If you would like to run this checklist against it directly, a trial on one site is the fastest way to score it honestly.
